How to track the serial numbers of reused parts

Updated

Tracking the serial numbers of reused parts means keeping one permanent identity for each part beside the manufacturer's serial, so every unit it is fitted into, removed from and fitted into again stays on its record. ReclaimBench gives each recovered part a local QR identity, keeps the manufacturer serial exactly as written, leading zeroes included, and records each fitting and removal against the same part.

Free to use. No account, email address or trial. Works offline once prepared.

One part, one serial, two returns, on a handheld or scan station.

A permanent ID beside the manufacturer serial

A manufacturer's serial can be missing, unreadable or shared by two parts, and it says nothing about where the part has been. ReclaimBench keeps the serial exactly as written, leading zeroes included, and gives the part its own permanent identity, carried by its QR label. That identity stays the same through every check, fitting, removal and reprint.

The part's own reference beside the manufacturer serial 000012.

Two parts with the same code stay two parts

A part code or serial match is not proof of identity. When a typed or scanned code matches more than one record, ReclaimBench lists the matching records and asks you to choose, and the exact QR label always selects one part. It never merges two parts because their codes look alike.

ReclaimBench after DRV-24 was scanned: Choose the matching record, listing component DRV-24 / B · 000012 and component DRV-24 / Unknown revision · 000013
Two drivers share the code DRV-24, so ReclaimBench asks which one.

Record the unit it is fitted into

Reuse is traceable when each fitting names its unit. Record the use only after the part has actually been fitted: choose the destination unit, add an observation and confirm that this exact part is in it. ReclaimBench keeps the unit on the part's record, and the part's history shows every unit it has been in.

A fitted part can't be used twice

Scanning a fitted part's label again shows where it is fitted. ReclaimBench refuses another use while the part is still recorded in a unit: the part must be available first, which needs a recorded removal and a fresh check.

Removed and reused: the same part, a fresh check

When a part comes out of its unit again, record the removal rather than deleting the fitting. ReclaimBench links the removal to the later return it came back on, puts the part in the bin you choose and keeps its identity, so the same serial and label carry on. The part goes back on hold and needs a fresh check before another use.

Keep the whole history, corrections included

Mistakes happen, and a serial history is only trusted if corrections show. ReclaimBench corrects a wrong destination without inventing another fitting, and a use that never happened without inventing a removal. The original entries and each correction stay in the part's history, and the component history PDF prints it all.

MADE FOR THE FLOOR

For repair and refurbishment technicians, service engineers and small manufacturers who fit recovered parts into other units and need to know where each serialised part has been.

A USEFUL STARTING POINT

A serial number alone doesn't say where a part has been

A reused part can be fitted, removed on a later return and fitted again, and its serial on a spreadsheet row only shows the latest unit, if anyone updated it. ReclaimBench keeps one record for each physical part, with its manufacturer serial and its own QR identity, and adds every fitting, removal and correction to its history.

FROM QUESTION TO EVIDENCE

Three steps to a useful result.

  1. 01

Record the part and its serial

Record the part code, revision and manufacturer serial exactly as written, and label the part with its own QR identity.

  2. 02

    Record each fitting

Scan the label and record the unit the part was fitted into, after a passed check.

  3. 03

    Record each removal

When it comes out on a later return, record the removal. The same part goes back on hold for a fresh check.

A CONCRETE EXAMPLE

Fitted, removed and back on hold

A DRV-24 driver is checked, made available in U-01 Checked parts and fitted into lighting assembly 000482. Scanning its label again refuses a second use. When assembly 000482 comes back on return R-1043, the driver is removed and recorded back in H-01 Inspection hold, with the same identity and its first fitting still in its history.

USED IN PRODUCTION

From one bench to the whole team.

ReclaimBench is one person's register on one device. When several people recover, check and fit parts, ReclaimStation keeps one shared record, with independent release, reservations and approved reuse rules. It is an invited trial, with scope agreed with you.

Invited trial

ReclaimStation

ReclaimStation books returned units in at a handheld or scan station, gives every recovered part its own label and keeps it held until its checks are reviewed and a second person releases it. A released part is reserved for a named unit and both are scanned when it is fitted, and a concern holds every affected part and lists the units already fitted.

BEFORE YOU START

A few practical answers.

Can a serial number be tracked?

In your own records, yes: ReclaimBench lists every unit a part has been recorded in, with each fitting and removal. It is not a live location, and it knows only what you record.

How do you find a product from its serial number?

Scan its label or type its serial. If one record matches, it opens. If two records share the serial or part code, ReclaimBench lists them and you choose the right one.

Can it look up a serial number with the manufacturer?

No. ReclaimBench keeps the serial you record and searches only your own register, on your device.

What are the current limits?

ReclaimBench is one person's register on one device, for individual parts. There is no shared team stock, reservation, sign-in or independent approval: a local check is your own record. It has no photos or attachments, no spreadsheet import, no bulk quantities and no direct connection to a printer: labels and reports are PDFs for your own printer, with QR codes only, which a scanner that reads only one-dimensional barcodes cannot read. A register is one saved file of at most 5 MiB, and copies on different devices do not synchronise. A source mix-up cannot be corrected by moving a part to another return: it stays held with an unresolved concern. Labels and reports show what was recorded, not proof of a part's condition or that it is safe to reuse.

What happens to my data?

Your register stays in this browser. Work starts in memory and is lost on refresh until you choose Save on this device or download a backup. Nothing you record, scan or download is uploaded, and camera images are decoded on your device and never stored. No account or contact details are needed. Google Analytics is optional and loads only after you accept; it never receives part codes, serials, return references, notes, label codes or file contents. Use Analytics settings on these pages or in the tool to change your choice; see /privacy/.
