How to track harvested parts

Updated

Tracking harvested parts means giving each part taken from a returned or broken unit its own record and label, noting where it came from, its condition and its bin, and recording every check and use until it is fitted again. ReclaimBench does this free in your browser for one bench: it records each part recovered from a return, holds it until you record a passed check, labels it with a QR code and records the unit it goes into.

Free to use. No account, email address or trial. Works offline once prepared.

ReclaimBench in the Hartwell & Pryce Engineering Brighouse works recovery register, saying Recovered part recorded on hold. Download its label and record a check when ready.

A record for every part: code, revision and serial

Record each part as soon as it comes out of the unit, one physical part to one record. In ReclaimBench, choose Record a recovered part, then enter its part code, its revision where you know it and the manufacturer's serial exactly as it is printed: a serial such as 000013 keeps its leading zeroes. ReclaimBench gives the part its own identity beside that serial, so the record still finds the right part if the serial is missing or shared.

Note its source, condition and bin

A harvested part needs to keep the return it came from. ReclaimBench asks for the actual source return first, then the bin you put the part in and what you found, such as a connector cover still intact. You confirm that you have the part, checked it for an existing label and chose its real source and bin, and review the record before it is saved. Every recovered part starts on hold.

Label it and scan it

Label the part before it goes into a bin with others like it. ReclaimBench prints a QR label for each part, 100 × 50 mm or on an A4 sheet of eight, with its part code, revision and serial and a code that opens its record. The label never prints the part's status: it says to check the app before use, because the status changes and the label does not.

ReclaimBench Prepared labels: print at actual size (100%) with fit-to-page scaling off, print and scan one label before printing the rest, and historical labels never make parts available

Check it before it goes in a usable bin

Keep held parts apart from parts ready for use. In ReclaimBench a recovered part stays on hold until you record a passed check, with what you checked and saw. Making it available is a separate step: choose the usable bin it is physically in and confirm that it is checked and permitted for reuse. A local check is your own record, not an independent approval.

ReclaimBench making the driver available: Checked driver placed in the labelled usable-parts bin, confirmed as checked, permitted for reuse and physically in the selected usable bin, with Check before recording for DRV-24 / B
Available only after a check, in the usable bin it is really in.

Record the unit it goes into

When the part is fitted, record the unit it went into. ReclaimBench asks for the destination unit, an observation and a confirmation that this exact part has actually been fitted, then keeps the fitting in the part's history. Only a part that is available can be used, so a held or already fitted part can't be recorded into another unit.

Find any part and its bin

Scan a part's QR label with a keyboard scanner or the camera, or type its exact reference, and ReclaimBench opens its record: the part, its source return, its state and the bin or unit it is in. To look along the shelf instead, open the register: show components, returns, units or bins, search the records and filter parts by state or by bin. A scan or a search only opens a record. It never records a check, a move or a use, so you choose the action and review it before it is saved.

MADE FOR THE FLOOR

For repair and build bench technicians, refurbishers and small manufacturers who take working parts out of returned or broken units and use them again.

A USEFUL STARTING POINT

A harvested part is only useful if you know where it came from

Without a record, a box of harvested parts mixes good and untested parts from different returns, and nobody can say which unit a part went into. ReclaimBench keeps one record for each part: its source return, serial, bin, checks and every unit it is fitted into, with a QR label that links the physical part to its record. It records what you tell it, so record each part as it comes out.

FROM QUESTION TO EVIDENCE

Three steps to a useful result.

  1. 01

    Record the part

Choose its source return, enter its part code, revision and serial, and the bin you put it in. It starts on hold.

  2. 02

    Label and check it

Download its QR label, then record your check and move it to a usable bin to make it available.

  3. 03

    Record where it is used

Scan its label and record the unit it was fitted into, and any later removal.

A CONCRETE EXAMPLE

One driver, from return to reuse

A lighting manufacturer's repair bench takes back LP-200 assemblies. From return R-1042 it recovers a DRV-24 driver, revision B, serial 000013, records it on hold in bin H-01 Inspection hold and labels it. After a passed check it moves to U-01 Checked parts and is made available, then it is fitted into assembly 000482. Scanning its label again shows the fitting, and a second use is refused.

USED IN PRODUCTION

From one bench to the whole team.

ReclaimBench is one person's register on one device. When several people recover, check and fit parts, ReclaimStation keeps one shared record, with independent release, reservations and approved reuse rules. It is an invited trial, with scope agreed with you.

Invited trial

ReclaimStation

ReclaimStation books returned units in at a handheld or scan station, gives every recovered part its own label and keeps it held until its checks are reviewed and a second person releases it. A released part is reserved for a named unit and both are scanned when it is fitted, and a concern holds every affected part and lists the units already fitted.

BEFORE YOU START

A few practical answers.

What are the two main methods for tracking inventory?

Manual records, such as paper sheets and spreadsheets, and automated systems that scan barcodes or tags into a database. ReclaimBench sits between them: a register in your browser with a QR label for each recovered part, which you scan to open its record.

Is this about salvaged parts or crops?

Parts. Harvesting here means taking working components out of returned, damaged or retired equipment so they can be checked and used again. It has nothing to do with farming.

Do I need an account?

No. ReclaimBench runs in your browser with no account, email address or trial, and the register stays on your device.

What are the current limits?

ReclaimBench is one person's register on one device, for individual parts. There is no shared team stock, reservation, sign-in or independent approval: a local check is your own record. It has no photos or attachments, no spreadsheet import, no bulk quantities and no direct connection to a printer: labels and reports are PDFs for your own printer, with QR codes only, which a scanner that reads only one-dimensional barcodes cannot read. A register is one saved file of at most 5 MiB, and copies on different devices do not synchronise. A source mix-up cannot be corrected by moving a part to another return: it stays held with an unresolved concern. Labels and reports show what was recorded, not proof of a part's condition or that it is safe to reuse.

What happens to my data?

Your register stays in this browser. Work starts in memory and is lost on refresh until you choose Save on this device or download a backup. Nothing you record, scan or download is uploaded, and camera images are decoded on your device and never stored. No account or contact details are needed. Google Analytics is optional and loads only after you accept; it never receives part codes, serials, return references, notes, label codes or file contents. Use Analytics settings on these pages or in the tool to change your choice; see /privacy/.
